What is WorkZen and how is it organized?
WorkZen organizes a service business as one pipeline: leads (people who might hire you) become clients (people who did), clients get jobs (the work), and jobs produce estimates, invoices, and payments (the money). Scheduling, checklists, phone, and messaging all hang off those four stages.
Every feature in WorkZen hangs off one simple pipeline. Understand these four stages and the whole app arranges itself.
The four stages
Leads are people who might hire you: website inquiries, booking requests, callers your AI receptionist qualified, names you typed in after a referral. They sit in a shared queue until someone claims them.
Clients are people who did hire you. Converting a lead creates the client with everything carried over. A client holds properties (the addresses you serve), contacts, files, and their whole financial history.
Jobs are the work itself, and the container for everything about it: scheduled visits, checklists, photos, expenses, and the documents below.
Money is the document chain: an estimate your client approves online, the invoice it converts into, and the payments recorded against it, by card online, Tap to Pay in the driveway, e-Transfer, or plain cash.
Everything else plugs in
The Scheduler is the calendar view of stage three. The phone system and messaging feed stage one and serve every stage after. Reports read the whole pipeline and tell you where money is made and lost. Your team's roles decide who sees which stages.
You never have to use the full pipeline. Walk-in customer? Create the client directly. Handshake deal? Skip the estimate and invoice at the end. The stages are there when you need them, not homework.
