How To Create A Client From Scratch in WorkZen

Go to Clients, click New Client, enter a name and at least one contact method (email or phone), and click Create Client. The address you enter becomes the client's first property, and you can add more properties, files, and jobs any time after.

Not every client comes through a lead form. Sometimes you have a contact ready to buy and you just need a record fast. Creating one from scratch takes under a minute, and the record grows with the relationship: properties, jobs, invoices, and files all attach to it.

Create the client

  1. Go to Clients and click New Client.
  2. Under Basic Information, enter the First Name and Last Name.
  3. For a company, switch on This is a business/company. The form swaps in Company Name (required) and Company Tax ID.
  4. Add contact details: Email, Phone, Mobile, Secondary Phone, and Website. At least one contact method is required, email or phone.
  5. Enter the Primary Address.
  6. Add anything else under Additional Information > Notes, then click Create Client.
Note

The Primary Address becomes the client's first property, named Main Location and marked as the primary service location. After creation, addresses are managed from the Properties tab, so multi-site clients get one property per location. See managing client properties.

What a client record holds

The client page is the hub for everything you do with that client, organized in tabs:

From the client page you can also start work directly: create a job, an estimate, or an invoice without leaving the record.

Keep it clean with archiving

When a client goes quiet, click Archive Client instead of deleting. Archiving hides the client from active lists but keeps the full history, and you can unarchive any time. Creating and editing clients requires the Manage Clients permission; company admins and managers have it by default.

    Open the client form

    Go to Clients and click New Client.

    Fill in Basic Information

    Enter a first and last name, or switch on "This is a business/company" and enter the Company Name. Add at least one contact method, email or phone.

    Add the Primary Address

    Enter the client's address. It becomes the client's first property, so jobs and visits know where to go.

    Click Create Client

    The client record opens, ready for properties, jobs, estimates, and files.
