How to share a visit with call masking

Open a visit, choose Share Visit, and turn on Mask details. WorkZen replaces your client's real phone number with a temporary extension on a WorkZen line, so whoever you share with can call the client without ever seeing their number. Copy the share text and send it to anyone.

When you send a subcontractor or helper to a job, they need the when, the where, and a way to reach the client. They do not need your client's personal phone number living in their contacts forever. Call masking gives them a working number that expires.

Note

Call masking requires an active ZenPhone subscription, since calls connect through your WorkZen phone line. Without one, Share Visit still works but shares the real contact details unmasked.

Share a visit

  1. Open the visit and choose Share Visit from the Actions menu.
  2. Review the preview: contact name, time, address, phone, and notes.
  3. Turn on Mask details.
  4. Click Copy, then paste the text anywhere: SMS, WhatsApp, email.

With Mask details on, the phone line in the share text becomes a WorkZen number with an extension, for example "Phone: (778) 555-0142, ext. 214". The dialog confirms with "Masked number active until" and the expiry date.

How the extension works

The person you shared with dials the WorkZen number, enters the extension, and the call connects to your client's real number. The client's number is never displayed to the caller, and when the extension expires the connection stops working.

Two behaviors keep this predictable:

  • Same client, same extension. Sharing the same client again, even from a different visit, reuses their existing extension and refreshes its 30-day clock. Your subcontractor's saved number keeps working across a multi-visit job.
  • Extensions expire. After 30 days without a new share, the extension is released. A stale number in someone's phone dials into nothing instead of your client's pocket.

What your client sees

When a masked call rings your client, the caller ID shows your WorkZen masking line by default. If you prefer a specific business number, set Caller ID for masked calls on that number in your phone settings, and masked calls will present it instead.

Step by step

    Open the visit

    Open the visit you want to share, from the Schedule or from the job.

    Choose Share Visit

    Open the Actions menu and choose Share Visit. The share preview shows the visit's contact, time, address, and notes.

    Turn on Mask details

    The client's real number is replaced with a WorkZen line plus an extension. The dialog shows how long the masked number stays active.

    Copy and send

    Click Copy and paste the share text into any text message, email, or chat app.
