How to connect a VOIP desk phone to WorkZen

Go to Phone Devices in your phone settings, click Add phone device, name it and pick its outgoing caller ID number, then enter the SIP credentials WorkZen generates (username, domain, password) into your desk phone or softphone. Add a Ring Physical Phone(s) step to a call flow to make it ring.

Some businesses want a phone that is a phone: a receptionist's desk set, a warehouse handset, a rugged softphone on a shared tablet. WorkZen registers standard SIP devices against your ZenPhone numbers, so the same line rings in the app and on hardware.

Register a device

You'll need an active ZenPhone plan with at least one number.

  1. Go to Phone > Phone Devices and click Add phone device.
  2. Give it a Label ("Front desk phone") and pick the Outgoing Caller ID number it calls out from.
  3. Click Create device. WorkZen generates the device's SIP credentials: Username, SIP Domain, and SIP Password.
Warning

Copy the SIP password right there: for security it is shown only once. If you lose it, revoke the device and register a new one.

Configure the hardware

In your desk phone's admin interface (or your softphone app), create a SIP account with the three credentials. Field names vary by manufacturer, but every SIP phone asks for the same trio: user/auth name, server/domain, and password. Once it registers, the device can place outbound calls from its caller ID number.

Make it ring

Inbound ringing is wired through call flows: add a Ring Physical Phone(s) step wherever the flow should hit the hardware and select one or more devices; they ring simultaneously. Chain the next step (voicemail, ring group, AI) to decide what happens if nobody picks up.

Managing devices

  • Edit renames the device or changes its outgoing caller ID.
  • Revoke permanently cuts the device off from calling; there is no undo, only registering a replacement.

    Add the device

    In Phone Devices, click Add phone device. Give it a label ("Front desk phone") and choose which number it calls out from.

    Copy the SIP credentials

    WorkZen shows the device's username, SIP domain, and password. Copy the password immediately; it is shown only once.

    Configure your phone

    Enter those credentials into your SIP desk phone's account settings (or any softphone app). The device registers and can make and take calls.

    Ring it from a call flow

    Add a Ring Physical Phone(s) step to your call flow and select the device, so inbound calls ring the hardware.
