Find and review payments on the Payments page

Open Payments in the sidebar to see every payment and refund across all invoices. Filter by status, type, method, or payment date, and click any row to open the payment's detail page with its invoice, client, and job. To correct a completed payment, issue a refund rather than editing it.

An invoice tells you about one client. The Payments page tells you about your cash. It lists every payment and every refund across every invoice, so questions like "did that check ever land?" take one filter instead of ten invoice pages.

Read the list

Open Payments from the sidebar. The stats bar across the top breaks your payments down by status, so you can see at a glance what is completed versus what is still pending.

The table shows type, number, date, invoice, client, amount, method, reference, and status. Click any row to open that payment.

Narrow it down

Search matches the payment number and the client name. For anything more specific, use the filters:

  • Status: completed, pending, failed, refunded, or voided.
  • Type: payments or refunds.
  • Method: cash, check, e-transfer, card, and the rest.
  • Payment Date: a date range.

Sort by payment date, amount, or date created. Hunting for a check that has not cleared? Filter status Pending and method Check.

Open a payment

The detail page shows the payment method, date, reference number, and notes, plus the related invoice, client, and job. If the payment is attached to an invoice, you also see the outstanding balance or a "paid in full" confirmation, and you can jump straight to the invoice.

The Actions menu on a completed payment gives you View Receipt, Send Receipt, and, when the payment is eligible, Issue Refund.

Warning

Payments cannot be edited or deleted once recorded. To correct a completed payment, issue a refund. The pair of records is the audit trail, and your books stay honest.

Stripe balance

If you have Stripe connected, a View Balance button appears next to New Payment. It shows what Stripe is holding and what is on its way to your bank, which is a different number from what WorkZen has recorded as paid.

Not yet. Edit Payment and Delete Payment appear on non-completed payments but are not available. To correct a completed payment, issue a refund, which leaves a proper audit trail.
The search box matches the payment number and the client name. For a check or transaction number, filter by method and scan the Reference column.
Refunds live on the same list as payments and are tagged by type. Filter by Type to see one or the other.
Viewing needs payment access. Recording a new payment needs Record Payments, and refunding or viewing the Stripe balance needs Manage Payments.
Yes. Click New Payment on the Payments page and leave the invoice blank, or link it to a client or job instead.
