Track licenses, insurance, and certifications

All plansBeginner4 minutesUpdated August 7, 2026

Go to Settings > Compliance and add each license, insurance policy, bond, or certification with its expiry date and document. WorkZen tracks the status of every credential and reminds you at 60, 30, and 7 days before anything expires.

The worst time to learn your liability insurance lapsed is when a client's GC asks for the certificate. The Compliance section is one shelf for every credential the business holds, with WorkZen watching the expiry dates so nobody has to.

Add your credentials

  1. Go to Settings > Compliance and click Add credential (requires the Manage Compliance permission).
  2. Pick a category: Business License, Trade License, Liability Insurance, Workers' Comp, Bond, Certification, or Other.
  3. Enter the name, issuer, credential number, issue date, and expiry date, plus any notes.
  4. Upload document to attach the actual license or policy file.
Plan availability

Scan & autofill reads an uploaded license or insurance PDF/photo and fills in the issuer, number, and dates for you (you review before saving). It requires ZenGrow or higher; typing the fields by hand works on every plan.

Statuses and reminders

Every credential shows a live status:

StatusMeaning
ValidExpiry is comfortably in the future
ExpiringExpiry is close, with a day countdown
ExpiredPast its expiry date
No expiryPerpetual credential; never reminds

Reminders arrive as WorkZen notifications at 60, 30, and 7 days before each expiry, and again at expiry. Each threshold fires once per credential, so you get three clean warnings instead of daily nagging.

Keeping the list honest

Filter by category and status to review what's current, and Archive anything the business no longer holds; archived credentials leave the active list but stay retrievable forever. Renewal came through? Edit the credential with the new dates and the status resets itself.

Step by step

  1. 1

    Add a credential

In Settings > Compliance, click Add credential. Pick the category, name it, and enter the issuer, number, and dates.

  2. 2

    Attach the document

Upload the license or policy PDF/photo, or use Scan & autofill to extract the issuer, number, and dates automatically.

  3. 3

    Let the reminders work

WorkZen shows each credential's live status and notifies you at 60, 30, and 7 days before expiry, and again when something expires.
