Job reports: completion, AI, and voice reports

A job well done deserves proof. WorkZen turns a finished job into a professional report your client can read, and reports come in three flavors that build on each other.

Generate a completion report

Open the job, click the Actions menu, and choose Report. On the report page, click Generate Report. WorkZen assembles the report from what the job already knows: visit history, financial summary, completed checklists, project photos, warranty info, and custom sections.

The report is built from blocks you can shape: Company Information, Client Information, Property Information, Work Summary, Visit History, Financial Summary, Payment Information, Completed Checklists, Project Images, Warranty Information, and Maintenance Recommendations. Drag blocks to reorder, hide any you don't need, and add up to 10 custom sections.

Two blocks deserve special mention:

• Work Summary is the narrative of what was done. Write it yourself, or see the AI section below.
• Client Signature: turn on Request client signature and your client sees a sign button when viewing the report. Once signed, the report shows who signed and when.

A job has one report. Regenerate replaces it with a fresh build from the latest job data, and any edits are lost, so WorkZen asks you to confirm.

Let AI write it (ZenAI)

On the ZenAI plan, Generate Report does more: AI reads the job's visits, checklists, and line items and writes the Work Summary for you. Inside the editor, the Generate with AI button rewrites the summary on demand, so you can regenerate after adding a late visit or photo.

Voice reports: dictate from the field

Typing on a dusty phone at 5 pm is how details get lost. Voice reports let a technician talk instead: in the iOS or Android app, open the job or visit, record, and the app transcribes as you speak. On the web, click Add Voice Report and type or paste the transcript, then Submit Report.

AI structures the raw transcript into a clean breakdown: Summary, Diagnosis, Work Performed, Parts Used, Recommendations, Time Estimate, and Urgent Issues, plus a read on client sentiment. If AI processing ever fails, the transcript is saved anyway, so nothing dictated is lost.

On ZenAI, AI also extracts Action Items ("order the replacement valve", "call client Tuesday") and turns them into reminders on your scheduler automatically.

Voice reports live on the job or visit they were recorded against. They are internal field notes; the completion report is what the client sees.

Send the report to your client

In the report editor, Save Report keeps a draft, Preview Report shows it as the client will see it, and Save and Send does the real thing: enter one or more email addresses and a message, and each recipient gets a link to view the report online. The report's badge flips from Draft to Sent, and WorkZen tracks when it's viewed.

Reports in the job completion flow

The report is wired into completing a job. The Complete Job flow checks whether the job has a report and offers Go to Report if it doesn't, and the completion email to the client can include the Job Report alongside the invoice. From the report editor itself, Save & Complete Job finishes both in one move.
